Administrative Assistant for HR

As an Administrative Assistant this position will support the company’s business goals by providing administrative support for Streamworks human resource department with daily duties and projects as assigned. We are looking to add an upbeat, outgoing person to our human resource department who is tech savvy, organized, detailed, thorough, who shows initiative to improve the tasks and processes they touch while having a positive, can-do attitude. 

Essential Duties and Responsibilities 

Time and Attendance Support

  • Reviews Time Cards for missed punches, schedule changes, errors
  • Enters and Updates schedules

Apps and Software Programs used by HR Admin 

  • Adobe DC PDF Maker – create and update Fillable Forms, Manage E-Signed Documents
  • WordPress – Updates Streamworks’ Intranet with updated and new documents
  • Streamworks Website - Updates with Job Postings and assists Generalist with Postings
  • Microsoft Office – Mail Merges, Email Blasts, Spreadsheet Tracking, Filtering, Power Point Presentations and voice overs
  • Visio – Org Charts; Floor Maps
  • ADP Home Page Portal – Maintains and Updates weekly/monthly. Works with the HR Generalist and HR Manager to develop communication programs.
  • ADP Forms, Tools and Resources – Monitor and notify HR Generalist of Manager if documents are outdated
  • ADP Document Cloud - Convert paper files, scan into ADP Document Cloud – paperless initiative
  • Formstack – Upload Quizzes used with Custom Training, manage data for those that have taken quizzes.

HR Administrative Support

  • Prepares new employee folders and onboarding materials
  • Works with HR Generalist and the New Hire Checklist in ADP Onboarding.
  • Participates in Onboarding, by helping the employee with first time login, training, and taking them on a Safety Walk-Thru
  • Assists in processing Employee termination files
  • Assist Employees with login questions, printing pay statements, forms, etc.
  • Manages Kudos awards and monthly birthday/anniversary cards
  • Works with HR Generalist and HR Manager to facilitate personnel file audits and I9 file audits
  • Audits – helps to pull records requested by Auditor, verifying data is accurate before submitting
  • Safety Folders Monthly Maintenance

Administrative Clerical Support

  • Maintaining and updating company organizational charts, maps, phone/contact lists on monthly basis or as needed
  • Heavy filing, electronic and paper
  • Makes photocopies, scans documents, and performs other clerical functions
  • Filing paperwork into appropriate folders including personnel and payroll files weekly
  • Prepares meeting materials for benefits open enrollment, safety meetings, security meetings, and lunch & learn meetings
  • Facilitates, monitors, tracks, and follows up with meeting and training attendance
  • Hands out compliance pieces, employee memos, notices, or other materials to individual employees
  • Maintain and manage the tracking of compliance pieces
  • Changes breakroom communications with updated information when needed – both locations and Fall Creek
  • Manage, download and distribute audit required Communications in a timely manner. Documents distribution to meet audit requirements
  • Edit training and company meeting videos and webinars through YouTube Video Editor
  • Helps review created quizzes, and help create quizzes for custom training.

Computer Skills

  • Advanced skills in Microsoft Office 365 including: Word, Excel, PowerPoint, and Outlook programs
  • YouTube Video Editor
  • Visio skills for floor plans, org charts
  • Proficient in Adobe Acrobat Pro PDF Maker (Forms)
  • Canva or other Design Software used to create posters, announcements, postings for ADP Home Page
  • Knowledge of WordPress program preferred
  • Ability to quickly learn new software
